Outlook Exchange Migration Is now complete!
The migration to Microsoft Exchange is now complete; however, there was an issue with the final synchronization for some users. This means some emails were not copied over to Exchange. These are emails that arrived yesterday in your Zimbra inbox.
If you notice missing messages, you can retrieve them by:
1. Logging in to the old Zimbra server at oldemail.mirvish.com
2. Locating the missing emails
3. Forwarding them to your new Exchange address: username@mirvish.onmicrosoft.com. These forwarded emails will then appear in your Exchange account.
Please note that your @mirvish.onmicrosoft.com address is only a backup for migration purposes and should not be shared or used as your regular email address.
If you experience any other issues, please open a ticket.
Important reminders:
- All new emails are now available at outlook.com.
- Do not use Apple Mail or other desktop mail clients as they are still pointing to the old server.
- We will be sending instructions shortly on how to update your smartphone email settings.

π Timeline & Access
When is the migration happening?
The migration starts Sunday, September 14 at 5:00 PM.
Expect some downtime during the changeover—we’ll send more details closer to the date.
When can I access my new email?
You’ll start using Outlook on the web (outlook.com) on Monday morning, September 15.
Will we be notified when the migration is complete?
Yes, we’ll send a communication once everything is ready.
Will there be support if I can't access email on Monday?
Yes, support will be available Monday morning to help with any access issues. Please open a ticket. (Help ticket "1 - MOVING TO EXCHANGE")
π» Email Access & Setup
Will I use Outlook on the web permanently?
For the first week, everyone will use Outlook on the web. After that, we’ll assist with setting up desktop apps like Apple Mail.
Can I continue using my current email app (e.g., Apple Mail)?
Not immediately. Apps currently connected to Zimbra will stop receiving mail after the switch. We’ll provide step-by-step setup instructions before September 14.
Where will setup instructions be shared?
Instructions will be emailed to everyone and made available internally.

What data will be migrated?
- Emails - Main calendars - Contacts from your “Contacts” folder
What won't be migrated?
- Shared/extra calendars - Emailed Contacts folder - Any non-standard Zimbra data
Will folders and email history be preserved?
Yes, all folders and historical emails will be migrated.
Will recurring calendar events and attachments be migrated?
Yes, both should carry over.
Will email rules/filters be transferred?
No, rules and filters from Zimbra will need to be set up again in Outlook.

What’s the difference between “Contacts” and “Emailed Contacts”?
- Contacts = People you manually saved (these will migrate).
- Emailed Contacts = Automatically saved addresses from replies (these won’t migrate).
How do I keep important emailed contacts?
Before September 14, move them manually into your main “Contacts” folder.
Is there a deadline for moving contacts?
Yes—do this before September 14, before the migration begins.
π Accessing the Old System
Will I still be able to use Zimbra after the move?
Yes, Zimbra will remain accessible in read-only mode in case anything was missed.
Can I still send email from Zimbra?
No. After the switch, all new mail will be sent/received via Outlook.
Will the Zimbra server eventually be shut down?
Yes. We’ll give advance notice before it’s permanently retired, but for now you can expect it to be available for the foreseeable future.
β What Do I Need to Do Right Now?
1. Provide Your Email Password - You would have received an email this week with a link to record your password. This allows us to perform the migration on your behalf securely.
2. Submit your personal details into this form, Data Collection - Exchange Migration
Make sure to fill out all fields so we have your correct details.
3. Review Your Contacts - Move any important addresses from “Emailed Contacts” into your main “Contacts” folder.
4. Check your outlook account for accuracy - As of September 2nd, you can log in to Outlook to check your data. You want to make sure your emails, folders, calendars and contacts have been migrated.
5. Create rules/filters in Outlook - We recommend doing this ahead of the migration, you can access your account as of September 2nd by logging in to outlook.com.
6. Add your signatures to Outlook - We recommend doing this ahead of the migration and will have full instructions closer to September 14.
